Know Before You Go

Are you attending the ASRM 2025 Scientific Congress & Expo, taking place October 25–29, 2025, at the Henry B. González Convention Center in San Antonio, TX? Here’s everything you need to know to make the most of your experience.


Registration and Check-In

You may pick up your badge at the Registration Desk (Henry B. González Convention Center) during the following dates/times:

Saturday, Oct. 25: 7:00 AM – 6:00 PM

Sunday, Oct. 26: 7:00 AM – 6:00 PM

Monday, Oct. 27: 7:00 AM – 6:00 PM

Tuesday, Oct. 28: 7:00 AM – 5:00 PM

Wednesday, Oct. 29: 7:00 AM – 12:00 PM

Bring your photo ID and registration confirmation email for badge pick-up.

Note that ASRM is a cashless event. You may use Visa, Mastercard, or American Express for any on-site payments.

You will receive our new Attendee Guide featuring a tear-out daily schedule, Expo Hall map, exhibitor list, and more.

Note: If you pre-ordered an ASRM 2025 t-shirt, you may pick it up at the Shop ASRM pop-up store, located in the back of ASRM Booth #1035, Monday through Wednesday during Expo Hall hours.


Technology and Event Tools

Congress App

Download the ASRM 2025 app in the Apple iOS or Google Play store to access schedules, speaker info, exhibitors, and networking tools, view abstracts and posters, and claim CME/CE credits. Log in with your last name and registration ID (found in your confirmation email and on your badge).

Wi-Fi

Wi-fi will be available in the convention center under the public network ASRM2025. If you feel like the wi-fi is running slowly, consider using your cellular data, which may be faster.

Claiming CME/CE Credits

Claim your CME/CE credits or print a certificate of attendance through the ASRM Evaluation Site, accessible via the ASRM Meeting App, Congress website, or an email sent after the meeting begins. Log in using the information you used to register, select your sessions or courses, complete the required evaluations or assessments, and download your certificate. Learn how to claim CME/CE credits.

New: Badge Scanning

Badge scanning will be used for specific ticketed events and sessions to track attendance. The QR code on your badge will be scanned when you enter designated sessions.  If you are claiming certain credit types, LPG, PSY, NASW, or NSGC, you must also scan out at the end of the session.

Opening Ceremony

The Scientific Congress kicks off Monday, October 27, with our Opening Ceremony at 7:45 AM in the Lila Cockrell Theater with the first plenary immediately following. Come early for the Opening Ceremony Continental Breakfast located in the West Lobby near Registration, which will be served starting at 6:45 AM.

If you belong to an ASRM affiliated society, professional group, or special interest group, you may receive invitations to on-site member meetings, dinners, or receptions. Watch for additional details from the groups with which you are affiliated.

Getting Around

All hotels in the ASRM hotel block are within walking distance of the Henry B. González Convention Center. Attendees should enter via the Lila Cockrell Theater Entrance, which will be clearly marked for Congress participants.

Public Transit

San Antonio’s VIA Metropolitan Transit offers an easy, affordable way to explore the city, with nearly 90 routes running from early morning to late at night. The Prímo 100 rapid-bus line and routes 14, 17, 21, 28, 30, and 67 stop within a short walk of the Convention Center. Fares are around $2. Plan your trip and track buses in real time with the VIA goMobile+ app, Google Maps, or by texting your stop number.

Accessibility

The convention center is ADA-compliant with accessible seating in the Lila Cockrell Theater, Guest Services desks, wayfinding kiosks, and Nursing Mothers’ Rooms in the East and West wings. Service animals are welcome.

Navigation On-Site

The Congress app includes a detailed map of the Convention Center, highlighting key areas such as the Registration Desk, session rooms, the Expo Hall, and the Spotlight & Engagement Pavilion. Signage will also be posted throughout the facility. Please note that construction is ongoing in parts of the building, so follow posted signs to avoid closed areas.


Food and Dining

The following concessions are provided for attendees:

Breakfast, breaks, and lunches for Postgraduate and Hands-on courses

A continental breakfast before the Opening Ceremony on Monday

Lunches with ticketed roundtables

Morning and afternoon coffee breaks, Monday to Wednesday, in the Expo Hall

Lunches with some industry-sponsored sessions

Lunches available for those attending the Environmental Seminar Series sessions (Monday and Tuesday) and the Carlos Simón Translational Research Lunch Symposium (Wednesday).

The Convention Center, including the ASRM 2025 Expo Hall, also has on-site cashless grab-and-go as well as sit-down options for coffee, snacks, and light meals, and the nearby River Walk offers a wide variety of dining from quick bites to upscale restaurants.


International Attendees

If you’re joining us from outside the United States, here are a few tips to help you prepare for a smooth and enjoyable visit to San Antonio:

Arrival and Entry

Ensure your passport is valid for at least six months beyond your travel dates. Depending on your country of origin, you may need a visa or ESTA approval to enter the U.S.—check requirements early.

Transportation

Rideshare services like Uber and Lyft are widely available. VIA Metropolitan Transit offers affordable bus service, including a rapid Prímo line to downtown.

Currency and Payment

The U.S. dollar is the local currency. Most businesses, including taxis and rideshares, do not accept cash—credit/debit cards and mobile payments are standard.

Connectivity

Free Wi-Fi is available at the Convention Center and many hotels. Consider an international roaming plan or local SIM card for reliable cell service.

Health and Safety

Pharmacies, urgent care clinics, and hospitals are close to the Convention Center. For emergencies, dial 911. Be mindful of your belongings when exploring the city.

Weather and Packing

San Antonio’s October weather is generally mild, with average highs around 80°F (27°C) and cooler evenings. Bring a light jacket and comfortable walking shoes.


Final Tips 

There is no formal dress code. Most attendees wear business or business casual attire. Pack a light sweater or jacket, as conference rooms can be cool. Be sure to wear comfortable shoes!
